Who we are
Sophrology UK is published by Oak Cassidy. We decide how the information described here is used, which makes us the "controller" under UK data protection law.
Practitioner applications
If you apply for a place, we ask for your name, email, phone number (optional), business details, where you trained, whether you are insured, and the areas you want. We use these to consider your application and to reply to you. We do not use them for anything else, apart from the optional tick-box about website and SEO services, which only means we may tell you about those services if you tick it.
We keep applications that do not go ahead for up to 12 months, then delete them. If you become a selected sophrologist, we keep your details for as long as you hold a place, and for a reasonable time afterwards for our records.
Basic listings of sophrologists
Some sophrologists appear in a "basic listing". This is not a selected place. A basic listing shows only a name, a town or area and a link to the sophrologist's own website. We take that information from places where it is already public, such as the sophrologist's own website, and we keep a private note of where we found it.
We do this because it helps people find a sophrologist near them, which we believe is in the interests of the public and of the sophrologists concerned, and because the information is limited to what is already published for that purpose. We never list phone numbers, email addresses or home addresses in a basic listing.
You can ask us to remove or correct a listing at any time, or to turn it into a full page that you control. Use the contact form and choose the matching topic. We act on removal requests promptly, and within one month at the latest.
The contact form
If you write to us through the contact form, we use your name, email and message to reply, and keep them for as long as needed to deal with your request.
Messages to a sophrologist
Each selected sophrologist's page has a form for sending them a message. If you use it, we pass your name, email, phone number (if you give one) and message to that sophrologist, who then decides how to reply and becomes responsible for what they do with it. We also keep a copy so we can see that messages arrive and sort out any problem, and sophrologists can see the messages sent to them in their dashboard. We never show your message or your details on the website. We delete messages after 2 years.
Cookies and tracking
We do not use advertising cookies or any other cookies to follow you. On practitioner pages we count how many times the page is viewed and how many times the phone number, email address, website, booking link or social links are clicked, so each practitioner can see how their page is doing. These counts record only which page, which practitioner, what happened and when. They do not record your name, IP address, device or anything that could identify you, and they are not used to follow you from page to page or site to site.
Who else sees your information
Our website, database and email run on services from other companies that process information for us. We do not sell your information. We share it only where the law requires, or when you ask us to.
Your rights
You can ask to see the information we hold about you, to correct it, to have it deleted, to limit how we use it, and to object to us using it. Contact us using the contact form.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
